Using a Super Possible Values List

Fields on certain Microsoft Dynamics SL screens allow for the ability to do super possible value (PV) list lookups. A super PV list includes key fields that are on the same level as the field the lookup is based on. To view a super PV list, click a field and press SHIFT+F3. The benefit of using the super PV list is that you can populate all of the key fields on the screen by doing a single lookup. It saves you from having to type a value in each field or do individual lookups for each field.

For example, a super PV list is available for the Account field on the General Ledger Account History (01.300.00) screen. The typical PV list includes only the Account, Description, and Type fields, but the super PV list includes the values for the screen’s key fields, Account, Subaccount, Ledger ID, and Fiscal Year.

Super PV lists are also available in Accounts Payable Vendor History (03.271.00), Accounts Receivable Customer History (08.261.00) and Salesperson History (08.311.00), and Purchasing Item/Vendor History (04.310.00).

The Microsoft Dynamics™ SL Year-End Updates for 2005 have been released. They are available for 5.5 Service Pack 3 and later releases. It is not necessary for the 2004 year-end updates to be installed before you install the 2005 updates. Visit one of the following links to obtain the download file, a list of the specific changes that were made, and complete installation instructions.

  Import Utility

Are your customer’s sales orders being handled outside of their Microsoft Dynamics™ SL system? Do they want to have full and complete sales order data without the need to manually recreate it? Is their manual sales order entry process inefficient and error-prone? Perhaps a sales order import utility could help solve these problems.

There are a number of tools that will help you create an import utility to integrate data from most sales order systems. Most importantly, these tools utilize existing screen logic to import the data rather than writing it directly to the database tables. This validation helps prevent data from being written into the tables incorrectly.

An import utility can be built into an existing sales order application if the application can be customized. The utility can be a third piece that bridges the existing sales order system and Microsoft Dynamics SL. In most cases, it is possible to fully automate the import process and provide a seamless solution.

Here are some of the tools that can be used to create this utility:

Transaction Import — Using this Microsoft Dynamics SL utility, you can import data from something as simple as an Excel spreadsheet. Programming knowledge is not required, and the Order Management Sales Order (40.100.00) screen can be customized.

Business Objects — These tools can be called from Microsoft® Visual Basic® 6.0 and .NET applications. Customized logic is not available with Business Objects.

Object Model — This option is flexible. It supports customized logic and can be called from Visual Basic 6.0, Tools for Visual Basic, and .NET applications.

Background: I started with Solomon Software in July 1999, working in the Support area, where my focus was on the Distribution modules. During my time with Solomon, Great Plains Software, and Microsoft, I held the positions of Support Engineer, Technical Lead Engineer, and Team Lead. I just started my new role on Plumbline Solutions’ ADC team on November 1 this year. Prior to joining Solomon, I held other roles, such as Controller, Operations Manager, System Administrator, and Office Manager for companies specializing in warehousing, transportation, and logistics.

When a purchase order (PO) receipt batch is released, it updates General Ledger with a new batch number. To find the original PO batch number, search on the OrigBatNbr field in Microsoft® SQL Server™ Query Analyzer or view Orig BatNbr on the General Ledger Journal Transactions (01.010.00) screen.
